Volunteers

A hometown celebration of the arts since 1988!  ArtsFest Stuart is a two-day outdoor arts festival held in Memorial Park and along East Ocean Blvd. in historic Downtown Stuart to celebrate the arts - music, visual, literary, culinary, dance, children’s activities and more! 

Thank you for helping to support ArtsFest and MartinArts with your time.  We have many volunteer opportunities available and have provided a detailed description of each volunteer position both in the registration system and via the hyperlinks below so you will have a clear understanding of what you will be doing.  After you decide where you want to volunteer, simply click on the sign-up button and follow the online instructions.  You will receive a confirmation email with the day, time, and location of where you will be volunteering after you register. 

Volunteer Orientation | Wednesday, January 31, 5:30PM

Location: Court House Cultural Center, 80 SE Ocean Blvd, Stuart.

All volunteers must attend the volunteer orientation to meet your team captain who will tell you more about your specific duties and assignment.  You will also meet the ArtsFest Staff and Committee members and get the inside scoop on what is going on for the weekend.  Most importantly, you’ll receive your volunteer t-shirt!

  • Artist Check in

    VOLUNTEER POSITION: Artist Check In (Friday, February 9)

    GENERAL DESCRIPTION

    Assist artists during festival set up by checking in artists as they arrive, distributing Artist Welcome Packets, and locating/directing them to their assigned area.  There will be 2 people at the gate, 4 people stationed along the road, 1 floater, and 1 person at the exit. 

    DUTIES/RESPONSIBILITIES

    • Attend volunteer orientation to get acquainted with your job duties, meet the ArtsFest staff and committee, pick up your volunteer t-shirt, and get the inside scoop on what is going on for the weekend.
    • FUN is why we volunteer! Smiling is contagious. 
    • Greet artists as they arrive in their vehicles.
    • Check them in on the master list.  
    • Give artists their welcome packets.  Note:  there may be notes on the packet indicating that proof of insurance is needed, additional paperwork is needed, etc.  Attend to this.
    • Volunteers will be given a marker and post-it notes.  Write the artist’s booth number on the post-it note and put it on the windshield so it is visible to you.
    • Direct vehicles to assigned spots (either from entrance gate or from your assigned spot along the set up zone).
    • Ensure vehicles are packed as close to the sides as possible in order to keep the center of the road clear for existing vehicles.

    LOGISTICS (DAY OF)

    • Arrive at the east gate ½ hour before official load in time to get layout, parking maps, stations, and protocols.
    • Traffic moves through the middle lane of the event.
    • Remind artists to park and offload in the lane directly next to their booth.  Then move vehicle from event site, and return on foot to set up the booth.
    • If you are assigned the set up zone, direct artists to their booths and make sure they comply with parking and unloading instructions.
    • As artists are shown to their booth space, collect the booth number signage and return to the artist check in.

    REQUIREMENTS 

    • Physical - Ability to be on your feet and walking for at least 4 hours.
    • General - Patience is always a must.  Ability to assess logistics of traffic flow (of artists arriving) and determine best course of action.

    WHAT TO WEAR

    • Wear your volunteer t-shirt.  
    • Dress comfortably for outdoors and listen to the weather.
    • Bring rain gear, if rain is predicted — we still need you.
    • Don’t forget your sunscreen!
    • Comfortable shoes are a must as you will be on your feet for most of your shift.

    MISCELLANEOUS

    • Safety is always the first priority; therefore, we ask that no alcoholic beverages be consumed while volunteering. 
    • We also ask that you leave your pets at home while volunteering.

  • Artist Hospitality

    VOLUNTEER POSITION: Artist Hospitality

    GENERAL DESCRIPTION

    You will be responsible for providing water, snacks, booth sitting for your assigned areas.  You will walk through your assigned areas, interact with the artists and welcome them to ArtsFest.

    DUTIES/RESPONSIBILITIES

    • Attend volunteer orientation to get acquainted with your job duties, meet the ArtsFest staff and committee, pick up your volunteer t-shirt, and get the inside scoop on what is going on for the weekend.
    • FUN is why we volunteer! Smiling is contagious. 
    • Go booth by booth to let the artists know you are there should they need a break or need water.
    • Continually walk the section assigned to you at check in to provide support to the artists. 
    • Routinely distribute snacks and water to artists.
    • Routinely walk booth to booth to see if artists need anything.  
    • Routinely walk booth to booth and volunteer as a booth sitter should artists need a break of any kind.  

    REQUIREMENTS

    • Physical - Ability to be on your feet and walking for at least 4 hours. Ability to pull a small cart of water and snacks.
    • General - Patience is always a must.  Enthusiasm and flexibility. Enjoy interacting with others.

  • Artist Load Out

    VOLUNTEER POSITION: Artist Load Out (Sunday)

    GENERAL DESCRIPTION

    Determine if artists and vendors are packed and ready to load prior to driving into site.  Provide general support to artists and vendors as they break down.  Assist with general traffic logistics as artists load their vehicles to leave. 

    DUTIES/RESPONSIBILITIES

    • Attend volunteer orientation to get acquainted with your job duties, meet the ArtsFest staff and committee, pick up your volunteer t-shirt, and get the inside scoop on what is going on for the weekend.

    • Monitor your assigned section for the following:
    • Assist during breakdown of event after visitors have cleared the site.  All artists and vendors must have area packed and ready to load prior to driving into site.
    • Distribute passes to artists once they are ready to bring their vehicles onsite. 
    • Help coordinate entry and exit of vehicles to prevent traffic jams.
    • Ensure entrance and exit are always open for vehicular traffic.
    • Monitor entrance and exit for unauthorized pedestrians.  
    • Ensure the center late remains open for vehicular traffic to enter and exist (one-way flow).

    REQUIREMENTS

    • Physical - Ability to be on your feet and walking for at least 4 hours.

  • ArtsFest Gate Greeter

    VOLUNTEER POSITION: ArtsFest Gate Greeter

    GENERAL DESCRIPTION

    You are the face of ArtsFest!  Greet people as they arrive at ArtsFest, and direct guests to the entrance or exit of the site.  Ensure no one enters or leaves with an alcoholic beverage and check to make sure all dogs are on a leash.

    DUTIES/RESPONSIBILITIES

    • Attend volunteer orientation to get acquainted with your job duties, meet the ArtsFest staff and committee, pick up your volunteer t-shirt, and get the inside scoop on what is going on for the weekend.
    • FUN is why we volunteer! Smiling is contagious. 
    • Direct guests to the entrance or exit to keep it flowing.  There is a separate entrance and separate exit at each gate.
    • Direct guests to the appropriate cash, credit, or presale line.  
    • Answer general questions about ArtsFest.
    • Hand out event information, if needed. 
    • Ensure no attendee leaves or enters with an alcoholic beverage.
    • May “stamp” guests that wish to leave and return later the same day.
    • Ensure dogs are on a leash when they enter.

     

    REQUIREMENTS

    • Physical - Ability to be on your feet and walking for at least 4 hours.
    • General - Patience is always a must.  Enjoy interacting with people. Be enthusiastic. Ability to assess crowds and control flow of people in and out of the site.  Ability to assess potentially negative situations and know when to escalate to the gate captain.

    WHAT TO WEAR

    • Wear your volunteer t-shirt.  
    • Dress comfortably for outdoors and listen to the weather.
    • Bring rain gear, if rain is predicted — we still need you.
    • Don’t forget your sunscreen!
    • Comfortable shoes are a must as you will be on your feet for most of your shift.

  • ArtsFest Gate Worker

    VOLUNTEER POSITION: ArtsFest Gate Worker

    GENERAL DESCRIPTION

    You are the face of ArtsFest!  Greet people as they arrive at ArtsFest, sell tickets via cash or credit card, and collect prepaid tickets.

    DUTIES/RESPONSIBILITIES

    • Attend volunteer orientation to get acquainted with your job duties, meet the ArtsFest staff and committee, pick up your volunteer t-shirt, and get the inside scoop on what is going on for the weekend.
    • FUN is why we volunteer! Smiling is contagious. 
    • Collect prepaid tickets from guests.  
    • Collect admission fee via cash or credit card from the attendees.
    • If assigned to collect cash, ensure the cash box remains secure and well organized (these are valuables!).
    • If assigned to collect cash, monitor amount of cash sales and request a pick up should cash exceed $300 at any given time. 
    • If assigned as the count keeper, use the hand-held counter to count the number of guests that arrive.
    • Ensure no attendee leaves or enters with an alcoholic beverage. 
    • Ensure dogs are on a leash when they enter.

    REQUIREMENTS

    • Physical - Ability to be on your feet and walking for at least 4 hours.
    • General - Patience is always a must. Enjoy interacting with people. Be enthusiastic. Ability to quickly and efficiently process cash and credit card transactions to minimize bottlenecks at the entrance.  Ability to perform math calculations quickly.. Ability to multitask.  Ability to assess potentially negative situations and know when to escalate to the gate captain.

  • ArtsFest Weekend Ambassador

    VOLUNTEER POSITION: ArtsFest Weekend Ambassador

    GENERAL DESCRIPTION

    ArtsFest weekend ambassadors are needed to walk around downtown Stuart and promote ArtsFest in real time while handing out publicity materials.

    DUTIES/RESPONSIBILITIES

    • Mix, mingle, and engage with people in the downtown area, passing out flyers or other materials related to ArtsFest.
    • Encourage people to walk over to ArtsFest.
    • May be called upon to wear a sandwich board.
    • FUN is why we volunteer! Smiling is contagious. 

    REQUIREMENTS

    • Physical - Ability to be on your feet and walking for at least 3 hours.
    • General -Patience is always a must. Possess an outgoing personality. Willingness to engage with strangers. Be enthusiastic about the festival.  

    WHAT TO WEAR

    • Wear your volunteer t-shirt.  
    • Dress comfortably for outdoors and listen to the weather.
    • Bring rain gear if rain is predicted — we still need you.

  • CHOPPED Arena

    VOLUNTEER POSITION: CHOPPED Arena

    GENERAL DESCRIPTION

    Provides general setup and breakdown to the event as well as support and assistance to the chefs and judges of the Chopped Event.  Monitor and oversee audience seating.

    DUTIES/RESPONSIBILITIES

    • Attend volunteer orientation to get acquainted with your job duties, meet the ArtsFest staff and committee, pick up your volunteer t-shirt, and get the inside scoop on what is going on for the weekend.
    • FUN is why we volunteer! Smiling is contagious. 
    • Set up tables the afternoon before the event (Friday only).
    • Unload supplies for the event the afternoon before the event (Friday only).
    • Assist with general setup for the event (e.g., garbage cans, back table setup)
    • Hang name signage on tables.
    • Put tablecloths on tables.
    • Ensure judges and chefs are kept supplied with water.
    • Set up judges’ tables with tablecloths and names.
    • Clear plates from judges’ tables.
    • General breakdown and cleanup after the event.
    • Direct people to empty seats and assist with any special seating needs. 

    REQUIREMENTS

    • Physical - Ability to be on your feet and walking for at least 4 ½ hours. Ability to lift up to 30 pounds.  While volunteers are needed for the full shift on Saturday, there will be lunch break in between each competition.  
    • General - Patience is always a must.  Enjoy interacting with people. Be enthusiastic..Ability to multitask.  Ability to assess potentially negative situations and know when to escalate to a committee member.

  • Court House Cultural Center Docent

    VOLUNTEER POSITION: Court House Cultural Center Docent

    GENERAL DESCRIPTION

    You are the public’s first impression of the Court House Culture Center!  Invite visitors to view the current exhibit at the gallery, and provide general information about ArtsFest and MartinArts and encourage visitors to join MartinArts.

    DUTIES/RESPONSIBILITIES

    • Attend volunteer orientation to get acquainted with your job duties, meet the ArtsFest staff and committee, pick up your volunteer t-shirt, and get the inside scoop on what is going on for the weekend.
    • FUN is why we volunteer! Smiling is contagious. 
    • Greet visitors as they enter the gallery.
    • Provide information (verbal and printed) to guests about MartinArts, about ArtsFest, and about the current exhibit,

    REQUIREMENTS

    • Physical - Ability to be on your feet and walking for at least 3.5 hours.
    • General -Patience is always a must.  Enthusiasm and flexibility. Enjoy interacting with others. General knowledge of MartinArts, ArtsFest, and the current exhibit. Become familiar with the art and artists that are in the gallery to converse intelligently with guests about the works. Invite guests to take MartinArts Magazines or other literature. Ability to assess situations and determine if escalation to a committee member is needed.

  • First Friday Fest Ambassador

    VOLUNTEER POSITION: First Friday Fest Ambassador

    GENERAL DESCRIPTION

    First Friday Fest Ambassadors are needed the weekend before ArtsFest to attend the First Friday Fest and promote the upcoming ArtsFest event.  May entail handing out publicity materials.

    DUTIES/RESPONSIBILITIES

  • Friday Site Operations (Festival Set Up)

    VOLUNTEER POSITION: Friday Site Operations & Festival Set Up

    GENERAL DESCRIPTION

    On the Friday afternoon before ArtsFest opens, volunteers are needed in the afternoon and early evening to perform various set up and miscellaneous tasks such as hanging banners, placing  barricades and traffic cones, setting up chairs, tables, display racks, etc.  This is a physically demanding position.  

    DUTIES/RESPONSIBILITIES

    • Attend volunteer orientation to get acquainted with your job duties, meet the ArtsFest staff and committee, pick up your volunteer t-shirt, and get the inside scoop on what is going on for the weekend.
    • FUN is why we volunteer!  Smiling is contagious. 
    • Perform general set up tasks.
    • Distribute and setup chairs and tables in designated areas.
    • Hang sponsor and event banners, as directed.
    • Set out trash cans, recycle bins, and signage in designated areas.
    • Assist with the process of road closures to include placing barricades and traffic cones.
    • Assist with setting up VIP area or other special events areas, if applicable.
    • Assist with setting up display racks in the local artist tent.  

    REQUIREMENTS

    • Physical - Ability to be on your feet and walking for at least 2.5 hours (per shift). Ability to lift at least 30 pounds.  
    • General - Patience is always a must.  Ability to assess onsite logistics and determine best course of action.

    WHAT TO WEAR

    • Wear your volunteer t-shirt.  
    • Dress comfortably for outdoors and listen to the weather.
    • Bring rain gear if rain is predicted — we still need you.

  • Hands On Activity Area

    VOLUNTEER POSITION: Hands On Activity Area

    GENERAL DESCRIPTION
    This year we have a children’s activity area.  Under the guidance of the activities director, you will assist the children in creating hands-on projects using materials supplied by MartinArts.  

    DUTIES/RESPONSIBILITIES

    • Attend volunteer orientation to get acquainted with your job duties, meet the ArtsFest staff and committee, pick up your volunteer t-shirt, and get the inside scoop on what is going on for the weekend.
    • FUN is why we volunteer! Smiling is contagious. 
    • Assist guests/children in creating hands-on projects.
    • Keep supplies organized, and the keep the area clean for the next guest.
    • Ensure that supplies used in the activity area remain in the activity area and and not removed by the participants.

    REQUIREMENTS

    • Physical: Ability to be on your feet and walking for at least 4 hours.
    • General: Patience is always a must.  Enthusiasm and flexibility. Enjoy interacting with children!

  • Rover

    VOLUNTEER POSITION: Rover

    GENERAL DESCRIPTION

    You are the eyes and ears of ArtsFest!  As a rover, you will interact with vendors, artists, and attendees, promoting the various daily events and directing people through the venue, as needed.  You will also walk around the site to see what’s going on.  It is your responsibility to contact the appropriate committee member if you observe anything that needs attention.  

    DUTIES/RESPONSIBILITIES

    • Attend volunteer orientation to get acquainted with your job duties, meet the ArtsFest staff and committee, pick up your volunteer t-shirt, and get the inside scoop on what is going on for the weekend.
    • FUN is why we volunteer! Smiling is contagious. 
    • Promote the various daily events as you walk around.
    • Direct people through the venue, as needed.  
    • Continually walk the site, observe, and report appropriate observations to a committee member.
    • Interact with the vendors, artists, and attendees.
    • You may be called up to fill other volunteer spots.

    REQUIREMENTS

    • Physical - Ability to be on your feet and walking for at least 4 hours.

    VOLUNTEER POSITION: Saturday Booth Patrol

    GENERAL DESCRIPTION

    On Saturday morning, before ArtsFest open to the public, ensure that each artist’s booth has its booth number and name prominently displayed (needed for judging and quick identification).  Ensure booth is open for 10:00am start of ArtsFest.  If not, report to Jane Baldridge.

    DUTIES/RESPONSIBILITIES

    • Attend volunteer orientation to get acquainted with your job duties, meet the ArtsFest staff and committee, pick up your volunteer t-shirt, and get the inside scoop on what is going on for the weekend.
    • FUN is why we volunteer! Smiling is contagious. 
    • Walk around to each artist booth to make sure artist has affixed in the proper spot his/her booth # sign to the tent.

    REQUIREMENTS

    • Physical - Ability to be on your feet and walking for at least 2 hours.

    GENERAL DESCRIPTION

    Assists with various aspects of ArtsFest operational setup, daily maintenance, and distribution of equipment and supplies throughout the weekend, including deployment of event signage, parking cones, supplies, and equipment, and monitoring of various site-specific items (trash, porta potties, etc.).  Given the nature of this job, you may get your hands, clothes, and shoes dirty.  This is a physically demanding position.

    DUTIES/RESPONSIBILITIES

    • Attend volunteer orientation to get acquainted with your job duties, meet the ArtsFest staff and committee, pick up your volunteer t-shirt, and get the inside scoop on what is going on for the weekend.
    • FUN is why we volunteer!  Smiling is contagious. 
    • As needed, distribute ice, water, and snacks to volunteer tent and other points.
    • Assist with infrastructure set up (deploy event signage, electricity, safety cones, etc.).
    • Double check that trash cans and recycle bins are in place.
    • Monitor trash cans and recycle bins throughout the day for collection; change out trash bags as needed.
    • Monitor port-a-potties for toilet paper, paper towels, and overall sanitary conditions.
    • May be assigned to keep the back gate secure and allow selective access to credentialed participants.  

    Morning Shift:  8am -10am

    • Double check trash and recycle bins are in place.
    • Deploy event signage.
    • Deploy supplies to various stations (coolers, water, snacks, etc.).
    • Double check that port-a-potties are unlocked and stocked with toilet paper and paper towels.

    Afternoon Shift: 1:00pm – 6:00pm

    • Monitor throughout the day trash cans and recycle bins for replacement bags/debris removal.   
    • Monitor throughout the day the condition of the porta potties; refill toilet tissue and paper towels as needed. 
    • As directed, assist with the deployment of various supplies.
    • At 5:00, change out trash bags; replace with new bag.  Double check the condition of the porta potties.

    REQUIREMENTS

    • Physical - Ability to be on your feet and walking for 2 - 5 hours, depending on shift. Ability to lift at least 30 pounds.
    • General - Patience is always a must.  Ability to troubleshoot and solve logistical site problems that may arise during the festival. Experience with basic construction and electrical engineering a plus.

    • Dress in clothes and shoes that you don’t mind getting dirty.

    • Collect and move event signage back to the common area.  
    • Remove banners from fence and return to common area.
    • Walk the entire event site and pick up any loose debris that is left from breakdown.

    Monitor the entry of credentialed artists, community partners, vendors, and ArtsFest volunteers Saturday and Sunday morning prior to the festival opening.

    DUTIES/RESPONSIBILITIES

    • Attend volunteer orientation to get acquainted with your job duties, meet the ArtsFest staff and committee, pick up your volunteer t-shirt, and get the inside scoop on what is going on for the weekend.

    • Monitor both gates and Detroit Avenue to allow credentialed people to enter the site.  This would be artists, community partners, vendors, and ArtsFest volunteers.
    • Ensure that there is no early admittance of the general public.

    • Physical - Ability to be on your feet and walking for at least 4 hours.
    • General - Patience is always a must.  Ability to assess onsite logistics and determine best course of action.

    GENERAL DESCRIPTION  

    Monitor the VIP seating area at the main stage and in the Chopped Arena to ensure that only those who have VIP tickets are seated in that area and availing themselves to the VIP amenities.

    DUTIES/RESPONSIBILITIES

    • Attend volunteer orientation to get acquainted with your job duties, meet the ArtsFest staff and committee, pick up your volunteer t-shirt, and get the inside scoop on what is going on for the weekend.
    • FUN is why we volunteer! Smiling is contagious. 
    • Ensure attendees have the VIP lanyard to gain access to VIP seating.
    • Exercise sound judgment and common sense should the VIP seating not be filled (e.g., someone with mobility issues needs a seat).

Festival Weekend Information for Volunteers

The Volunteer Support Tent will be located near the West Entrance closest to Confusion Corner.  Kindly remember that parking is available on a first come, first serve basis around the festival site - a parking map will be shared at orientation.  Please leave your pets and valuables at home as we have no place to secure them.

We depend on your commitment to participate. Your presence and prompt arrival for your scheduled shifts are necessary. It is very important to remember that if your schedule changes, or if you have an emergency, please contact us immediately.
